How website and inquiry information is described and handled.
This is a plain-language operational summary and is not legal advice. The effective date, final business contact details, retention schedule, provider wording, and jurisdiction-specific requirements remain under review.
Assessment information collected
The Free Digital Growth Assessment may collect contact information, business and website information, requested services or interests, information about current lead processes, a project description, preferred contact method, and expected timeline.
How assessment information is used
Assessment information is used to review requests, respond to prospects, understand business needs, prioritize internal follow-up, prepare recommendations, and operate or improve the assessment workflow.
Private WordPress storage
Submitted assessments are stored privately in the VCare Digital WordPress administrative system. The workflow assigns an internal Assessment ID and Delivery ID to support administrative review and controlled delivery. Assessment records are not intended to be publicly accessible.
Google Sheets delivery
Assessment data may also be delivered to a private Google Sheet used for internal sales and workflow operations. This creates a second storage location within the connected Google Workspace workflow.
Deterministic internal scoring
The system may calculate a rules-based internal prioritization score from submitted information. The score is an administrative aid: it does not automatically accept or reject a prospect and does not make customer-facing decisions.
AI-assisted internal review
Authorized staff may choose to send selected assessment information to an AI service for assistance with summarization, identifying potential needs or missing information, suggesting follow-up questions, and drafting internal or customer follow-up content.
The AI assistant is admin-only and requires human review. It does not automatically send customer communications or automatically change an assessment’s qualification or status. Data is minimized where practical for the review task.
Basic technical and analytics information
The website and hosting provider may process basic technical information needed to deliver and protect the site, such as IP address, browser type, requested pages, timestamps, and diagnostic logs. Any analytics configuration should be reflected in the final reviewed policy.
Cookies
WordPress, hosting, caching, or other approved services may use cookies supporting essential site functionality. Non-essential cookie use should be reviewed and disclosed before activation.
Third-party service categories
Service categories involved in the website or assessment workflow may include website hosting, Google Sheets or Google Workspace, and an AI service provider. These services may process information only as needed for their role in the configured workflow. Final provider-specific and legal wording remains subject to owner/legal review.
Data retention
Final retention periods have not yet been approved. Retention will be determined according to operational and legal needs, and the final schedule requires owner/legal review.

Questions or privacy requests may be submitted through the Contact page. Final business contact details should be added before publication.
Policy updates
This policy may be updated when site practices or providers change. A final reviewed version should include an effective date and revision process.
